JOB DESCRIPTION -
BARREN RIVER CHAIRMAN

1. Act as LBA Board liaison for downstate members, keeping Louisville members advised of any special events or games that could be included in the Midwest Monitor or properly publicized to increase attendance.
2. Secretary will arrange dates for Barren River a little over two years ahead of time. Secretary has district tournament schedule.
3. On first day of month, two years prior to the tournament, reserve Barren River. Talk to Nancy Harrison, at 1 (8OO) 325-0057. The fall tournament is usually in October. Reserve room(s) for director(s). Sign contract with facility and forward copy to LBA Treasurer.
4. Check to make sure LBA secretary has secured the sanction.
5. Six months before tournament:
a. Contact Unit Tournament Coordinator (Vice President) to advise names and telephone numbers of Downstate Coordinator(s) who will be Partnership and Tournament Chairmen. This information will be in the ad in the Midwest Monitor.
b. Secretary will arrange to have dinner served at either 2:30 or 3:00 (after the 4th or 5th session depending on what time the dinner can be set up). This has a bearing on the starting time of the Sunday Swiss (10:00 AM) and needs to be included in the tournament ad.
6. One month before tournament:
a. Arrange for caddies in the following numbers: Friday-1/Session, Saturday and Sunday 2/session. Pay for caddies is $20/session plus Sunday meal.
b. Confirm all arrangements for hospitality & water.
c. Barren River will direct bill the unit for all charges. The directors pay for their own rooms and submit the charge to the unit for reimbursement. All financial settlement is handled by the LBA Treasurer or his/her designee at the end of the tournament. You do not have to do this.
d. Scrip will be delivered to you for the winners of the events. You will give this out to the winners after the appropriate correction period.
e. Arrange for bidding Boxes, Tables, Game Clock & Meal Tickets.
7. The first day of the tournament:
a. Arrive at least one hour before first session. Contact directors to see if everything is in order. Advise them of prices that will be charged per session and for two sessions and dinner on Sunday.
b. Have water available 15 minutes before and throughout each session.
c. Have Partnership Desk open 30 minutes before each session.
d. Check bathrooms continuously for adequate supplies.
